The amount spent on the Christmas Bazaar was queried at the meeting. Vikki Lindsay provided the following breakdown and clarification after the meeting.

It was noted that in previous years of the full Bazaar (pre-lockdown) we didn’t run the treasure hunt and therefore didn’t have this expense.

Secret Santa made a loss of £143 which was considered acceptable as the activity is not intended to generate a profit. It was suggested altering the wording in future online sales to permit separate voluntary donations. Toby Blackburn to investigate.

The Christmas Cards activity did generate a small profit but smaller than previous time it was run. It was felt this was primarily due to the activity being parent led whereas a school-led process would have been much more successful. Kate Sykes to liaise with school to try and ensure school leads activity next year.

Upcoming Spends

The following spends have been presented and agreed with the school following discussions with Sam Hodder and Julie Bailiss.

  • £350 per class for class visitors (£1,400 total) – some completed but all classes have booked
  • Sound system for outside (£1,000 budget) – delivered, awaiting invoice. Some additional items to buy prior to next use (cables and wired microphone). Toby Blackburn to sort.
  • TV or monitor for reception – £300. Still awaiting requirements. Toby Blackburn to chase.
  • Solid lid for sandpit (and sand) – £500
  • Wooden structure between willow and outside classroom in school field e.g. boat for lower years – no budget defined. Need to investigate whether it can be designed and procured through PTFA. It was agreed that this should be further discussed with school and also to ensure that student voice is included in the specification. Action on Kate Sykes and Vicki Lloyd to raise with school.
  • Life Skills, SATs and Leavers’ Party – £1,000
  • Christmas Tree – purchased £100
  • Three large gazebos (3 x 3m) £660 – purchased

Recent Activities

Uniform sales have now been running regularly on the first Friday of the month. The possibility of providing additional funding for new uniform s part of the pastoral teams activities was discussed. Whether this is as a fund or through uniform vouchers will depend on need but mechanism/feasibility to be discussed with school. Action on Kate Sykes and Vicki Lloyd.

The School Disco went well and was well attended. Future options to be discussed with school. Kate Sykes/Vicki Lloyd.

Secret Santa also went well, although further work is needed on wording to ensure parents clearly understand how many gifts they need to order. Action on Toby Blackburn.

Upcoming Activities

Textile recycling is coming up on 3rd Feb along with a uniform sale. Toby Blackburn to promote.

90s events coming on the 11th March. Roller Disco session 1 is fully booked with spaces remaining on session 2 & 3. Ticket sales for the evening event stand at 672 (at time of writing) meaning the event is profitable. It was agreed not to offer food at the event as Tropicana have been poor at responding. Tropicana have all PLI and Risk Assessments from PTFA and our contractors. They were still awaiting docs from Eleven Roller but they had spoken to them and these were due shortly. Lizy, Amy and Caroline agreed to do UV and glitter painting at the event?

Easter will be on 31st March. Easter bonnets in KS1. Refreshments and chocolate hunt to be arranged. Possibly do another KS2 Lego challenge? Discuss with school. Kate Sykes/Vicki Lloyd.

Communications

Toby Blackburn to arrange a newsletter to go out in February. Updates to include:

  • Class reps – Kate Sykes to provide list of volunteer reps to date
  • Thanks for Christmas
  • Tropicana events
  • Summer Fete Date 1st July
  • Loss of Amazon Smile service – push GiveAsYouLive as alternative

AOB

  • Safeguarding training. Any parents who go into school and don’t have up-to-date safeguarding training to contact the office to arrange training?
  • Look into possibility of having class support funds to provide purchasing of craft materials or other support materials. Need to discuss options with school. Action Kate Sykes/Vicki Lloyd
  • Class representatives to funnel parent feedback into classes and vice versa. Kate Sykes has compiled a draft list of volunteers but other volunteers may be sought where necessary.
  • Look into the possibility of bulk buying activities for parents/children next Christmas. Examples: pantomime, wreath making.
  • Quiz Night. Look into maybe arranging another. Action Kate Sykes/Vicki Lloyd
  • Look into provide a parent survey after events to establish what worked and what did not. Kate Sykes/Toby Blackburn to look into?
  • Look into whether we can have another movie night in school, possibly as an Easter activity? Action on Kate Sykes/Vicki Lloyd to discuss with school.
  • Provide images of what last year’s Go Kids Go donation was spent on (Bike Racks). We have also been invited to apply again this year. Action on Vicki Lloyd/Lizy Jones?
  • Coronation celebrations. Look into whether school has anything planned and whether there are other things that the PTFA can do as part of the celebration e.g. commemorative mugs. Kate Sykes/Vicki Lloyd to speak to school.
  • Amazon Smile is stopping. Whilst it’s not a massive income for the PTFA it is still an income. We should try to compensate for loss by increasing marketing of the GiveAsYouLive service.
  • Shed needs tidying and weeding! Action on who?
  • Happy Circus raised as a possible fundraiser. Kate Sykes/Vicki Lloyd to speak to school about possibility.
