Minutes from Last Meeting

Chair’s Report

During the pandemic the PTFA has had to adapt as with many organisations, this has made fundraising more challenging but it has also given us the opportunity to look at the way we support the school.

Despite the challenges throughout the year the PTFA have been involved in supporting or organising numerous activities.
In the first two terms we ran the Christmas card fundraiser where we turned children’s artwork into cards and wrapping paper, Uniform Sale, Textile recycling, the Christmas treasure hunt and Secret Santa, we also organised the class party food and treats from Santa.

In the New Year, in early March, our hugely successful night at the Tropicana returned with a 00s theme and family roller disco during the day. Despite challenging conditions, the addition of roller disco and a new theme, we managed to sell approximately two thirds of capacity for the evening event and raised around £4.5k.

In term 4 we had Easter activities, which included the KS1 Easter Bonnet Parade, the Egg hunt and a second Textiles recycling collection.

In the final term the PTFA held a third textiles recycling collection. The main event during the summer term was the summer fete which is organised with the Uphill Village Society. The weather was unpredictable but the event was very well attended. We did struggle with having enough helpers to be able to spread the work.

The 100 Club continued for another year. Well done if you were a lucky winner.

During 2017/2018 the PTFA made changes to the constitution. The changes basically reflect a new direction for the PTFA which is possible due to the large fundraising event taking the pressure off the need for funds. Progress in the new direction includes:

  • organising more social events so everything isn’t about raising money (Jump N Jacks)
  • to improve links with the school Governors and using this link to share the views of parents and carers within the school.
  • Support Community events building relationships with Uphill Village Society village Christmas bazaar, village fete, supporting the pop-up café.
Spends

Over the course of the year the PTFA have provided funds to the school to assist in the purchase of: New IT laptops and table, new screens for ICT room and community room, picnic benches.

Future

There have been lots of discussions about future events and the calendar for 2022/2023 has been put together.

This term we also have supported the EYFS/Yr1 coffee morning, the first event Disco – Ade Bowen (Action Pussycat) 17th November. This then followed with a dress down day for chocolate tombola donations – 2nd Dec and the xmas fair – 9th December (also Xmas Jumper Day)

In September we met with Sam Hodder to discuss the calendar and to understand the school’s main priorities financially. The school are keen to maintain the regular events at Christmas, Easter and summer fete, but new ideas are welcome and bringing back events like the disco.

The PTFA proposed Spends for 22/23 (** Priorities for term 1)

  • £350 per class for class visitors (£1,400 total)
  • Sound system for outside (£1,000 budget) ** Toby speaking to Paula about this
  • TV or monitor for reception – £300
  • Solid lid for sandpit (and sand) – £500
  • Wooden structure between willow and outside classroom in school field e.g. boat for lower years – no budget defined. Need to investigate whether it can be designed and procured through PTFA
  • Life Skills, SATs and Leavers’ Party – £1,000
  • Christmas Tree – purchased
  • Two large gazebos (3 x 6m) and weights- need to establish budget
  • Father Christmas outfit – Robin the caretaker to choose what he would like

We’ve had a really great year, I want to thank all the PTFA committee and helpers, without them these activities/events just wouldn’t happen.
